How To Make A Schedule In Google Sheets (With Free Templates)

Google Sheets offers a free, flexible online alternative to planner apps for organizing your schedule. These templates let you set up weekly and monthly planners without building a spreadsheet from scratch.

Set up a weekly planner

  1. Open the Weekly Schedule Planner template.
  2. Choose File → Make a copy to save your own version in Google Drive.

The undated template covers a full week, with a customizable start date and 30-minute time slots. It also includes space for notes and to-do items, and scheduled events automatically receive a light-green background.

Cell “C4” controls the week’s start date. Updating it automatically changes the dates and days in rows 7 and 8.

  1. Double-click cell “C4”.
  2. Choose your preferred starting date in the calendar popup.

You can also enter the date directly in “C4” using your local date format. Your week can begin on Sunday, Monday, or any other day.

Set up a monthly planner

The monthly planner follows a similar process but uses a separate template.

  1. Open the Monthly Schedule Planner template.
  2. Choose File → Make a copy to save it in Google Drive.

This undated calendar provides room for a full month’s schedule, plus notes and to-do items. Changing the month in “C4” automatically updates the days and dates below.

  1. Double-click cell “C4”.
  2. In the calendar popup, choose any date within the month you want to plan.

Alternatively, type the month’s first date into “C4” using your local date format.

Three ways to make your planner easier to use

Duplicate sheets for additional weeks or months

To keep several schedules in one spreadsheet, duplicate “Sheet 1”:

  1. Open the dropdown arrow beside the sheet name.
  2. Select “Duplicate”.

Rename each sheet to make its week or month easier to identify.

Keep dates and days visible while scrolling

Frozen rows stay on screen as you scroll down, helping you identify dates and days without repeatedly returning to the top.

  1. Select rows 7 and 8 in the weekly planner, or row 7 in the monthly schedule planner.
  2. In the spreadsheet menu, select “View → Freeze → Up to row 4” to freeze the rows.

Make your schedule available offline

For access without an internet connection, you need Chrome and the Google Docs Offline extension. After installing the extension, enable offline access for your Google documents:

  1. Visit docs.google.com.
  2. Open the hamburger menu before the logo, then select “Settings”.
  3. Enable offline mode.

Your schedule will then be accessible even when internet access is limited.

Benefits and limitations of scheduling in Google Sheets

Google Sheets offers several advantages as a scheduling tool:

  • No additional cost: It is included free with a Gmail or Google Workspace account, potentially saving the expense of a separate scheduling tool.
  • Familiar format: Its straightforward spreadsheet layout avoids the need to learn a new tool.
  • Sharing and collaboration: Share your daily schedule with teammates so they can add comments or notes.

There are also drawbacks:

  • Difficult team coordination: Managing plans across multiple spreadsheets can become challenging.
  • Limited task detail: Cells have limited room for information, and you cannot attach a file or document.
  • No broad long-term view: Weekly and monthly plans do not provide a bird’s-eye view of the next six months or year.

If these limitations interfere with your work, another scheduling tool may better suit you or your team.

Using Toggl for team scheduling

Options range from free calendars to simple timeline tools. Calendars work well for personal events, but coordinating a whole team’s events and tasks requires more. Toggl is a work scheduling and tracking tool designed for teams.
